Guest Experience

Guest Mobility Management is the process of administering guest experiences during their arrival, immersion and departure to an organization’s event. This designing an individualized strategy incorporating services customized to each event and sponsor; cost-effective and time-saving transportation plans; and carefully defined staffing roles and responsibilities. Guest mobility management is the evolution of traditional event transportation and staffing. As the needs of experiential marketing, public relations, branding and customer engagement have evolved, there was a need to expand beyond the idea of managing a crew of temp staff focused solely on task-management. A guest mobility team takes a holistic approach to event experience, with a keen understanding of the event, its attendees and the location. This team is trained in addressing the specific needs of each event and empowered to act independently to ensure guest and client satisfaction.

10 X Conference, 2019 Miami, FL

Successfully placed over 250 SETters, carefully trained on the 10X event and brand, and prepared them to perform the following: Trained our staff in the following areas and duties:

VIP registration/Help desk
Greeters
Promo distribution
Retail associates
Inventory runners

All SET: To ensure staff performance, we trained and provided management and supervisory staff for every area. We ensured that the standards of quality were met, while protecting the privacy of VIP speakers and respecting the copyright of their content.

JP Morgan Investment Conference, 2018 Boca Raton Resort & Club – Boca Raton, FL

Screened, vetted and successfully placed over 40 SETters for the conference in the following areas and duties:

Airport arrival management
Airport greeters
Onsite vehicle coordinators

All SET: We managed this program in collaboration with DavEl Boca Transportation, to provide the staff and administrative support to execute the transportation plan across three county airports, flawlessly and on time.

Florida International University McNair Scholars Research Conference, 2018 & 2019 – Miami, FL

Consulted on guest mobility needs for this this niche academic conference, providing the following services:

Brokered vehicles
Selected and trained a dedicated airport greeter
Set up registration and guest services
Managed airport arrival, assigning an exclusive driver for the scholars
Provided onsite vehicle coordinator to ensure quality and timeliness of services

All SET: We focused on offering exclusive and dedicated local staff who were at hand to support the visiting scholars, ensuring their comfort and providing advice on how to make the most of their time in Miami.

MEET ELIAS VARGAS, SET FOUNDER AND CEO

Elias Vargas is an industry native, whose intricate knowledge of event and transportation management comes from performing a variety of roles in the industry. From working on the ground as a valet and greeter, he worked his way up to set designer, staff recruiter and transportation manager, gaining the expertise in developing individualized guest mobility plans along the way.

As founder and CEO of set, he leads a team of carefully-selected SETters to create the best client and guest experience. Having worked on the production side of advertising before transitioning to the event industry, Elias combines his marketing know-how with passion for experiential events, to perfectly match his client’s needs with tailor-made solutions.

Elias understands the impact a masterfully planned event can make on brands, guests and the industry. Therefore, he has is on a mission to support the industry in raising the standards of event experience and quality at the local and national level.

Prior to founding SET, Elias worked as a transportation manager and contractor for large-scale events, including:

PepsiCo SUPERBOWL XLVIII, 2015 – MetLife Stadium, NY

Planned and executed the complete transportation program for 400 guests, across a broad range of venues/group sizes
Hand-selected 26 professional drivers
Determined key needs and budgeting for transportation
Negotiated contacts with local transportation suppliers
Implemented a cloud-based information sharing system for the staff

Democratic National Convention, 2016 – Wells Fargo Center Philadelpia, PA

Led pre-event transportation setup, including: site visits, office and workspace setup, equipment supplier liaison, classification and distribution of signage, routing and driver materials
Managed onsite transportation systems and staff, Coordinated leisure time city transportation system for delegates out on the town, morning press shuttle to convention and assisting with critical group moves
